Privacy questions go directly to Lizzy and Duncan through Howlett Media.

01Who we are

Molten Media is the creative collaboration involving Kieron Pepper, Duncan Howlett and Lizzy Howlett. This website and its project enquiries are managed by Duncan and Lizzy Howlett through Howlett Media. For this website and the enquiry records we manage, Duncan and Lizzy are the people responsible for deciding how personal information is used (the data controllers).

This notice covers visits to moltenmedia.uk, messages you send us, and project enquiry forms that link to this notice. A commissioned production may need additional information about filming, releases and the use of footage; those arrangements are explained separately for that project.

02Information we use

We receive the information you choose to provide in an enquiry or subsequent conversation. Depending on what you submit, this can include your name, email address, telephone number, artist or organisation name, project brief, music and portfolio links, proposed dates, location, budget and any attachments.

We also keep the correspondence and project notes needed to deal with the enquiry. If you book a production, relevant records can include agreed services, contact details, invoices and contractual correspondence.

Website and form infrastructure may process technical information such as your IP address, browser details, request time, requested page and security or error logs. The services used on this website are explained below.

Fields marked as required are needed to process the form or respond to you. You do not have to make an enquiry, but without a way to contact you we may be unable to reply. Please avoid including sensitive personal information, identity documents or payment-card details in an initial brief. Only share another person’s details where you are entitled to do so.

03Why we use it

Discussing a project and preparing a quote
We use your enquiry to understand the brief, check availability and respond. When you ask us to take steps towards a contract with you personally, the lawful basis is taking those pre-contractual steps. For general enquiries or when you represent an organisation, we rely on our legitimate interest in communicating with potential clients and assessing whether we can help.
Organising agreed work
We use relevant information to plan, deliver and administer a commissioned project. The basis is performance of a contract with you, or our legitimate interest in working with your organisation where it is the contracting party.
Operating safely and keeping necessary records
Our legitimate interests include protecting the website, preventing spam, managing correspondence and resolving queries or disputes. Where records must be kept for tax, accounting or other legal requirements, we rely on a legal obligation.

An enquiry is not marketing consent. We use your contact details to deal with what you have asked about. Any separate newsletter or optional promotional sign-up must be presented separately. Where we rely on consent, you can withdraw it by contacting us; withdrawal does not affect lawful use before you withdrew.

We do not make decisions about your enquiry based solely on automated processing that have legal or similarly significant effects on you. Administrative automation, such as recording a submission or notifying the team, is not a decision to accept a project.

04Enquiry forms & MUMO

When you use a MUMO form linked to this notice, the answers you submit are used to create and manage your enquiry. This can include the submission time, the form or brand you contacted, your answers and the privacy acknowledgement shown on the form. The relevant enquiry and email services may process submission records and notifications so the authorised team can follow up.

MUMO is an enquiry-management tool, not a public directory for your submission. The purpose of providing your details is to allow Howlett Media to deal with your Molten Media enquiry.

The Molten Media website embeds its project enquiry form from MUMO at howlett-backstage.howlettmedia.chatgpt.site. When the embedded form loads, your browser connects to that service and sends the technical request information needed to display it, such as your IP address and browser information. Your answers are sent to the form service when you submit them. The same form is available through the “Open form in a new tab” link.

You can contact us directly by email instead. This notice describes how we handle enquiries; it is not a guarantee that a notification email has been delivered or that a project has been accepted.

05Sharing & storage

Information is shared with the people who need it to assess or deliver your project. This can include Kieron Pepper and relevant production collaborators where their input is needed. It can also be processed by the website host (Krystal), enquiry/form infrastructure, email and cloud-storage providers, and professional advisers where necessary. We may disclose information where the law requires it.

We do not sell your enquiry details. Access to enquiry records is intended for authorised people handling the work, not public publication.

International processing: some online services, including Google and form providers, operate internationally and may process information outside the UK. Do not assume that all information stays in the UK. Where a transfer made on our behalf requires protection under UK data-protection law, an applicable UK adequacy arrangement or another permitted safeguard is required. You can ask us which providers handle your enquiry, where they process it and for details of the applicable transfer safeguards.

06How long we keep it

We keep information only for as long as it is needed for the reason it was collected, taking account of legal requirements and a reasonable need to resolve disputes.

For an enquiry, the relevant factors are whether the conversation is still active, whether a quote or follow-up is outstanding, and whether the enquiry becomes a project. For booked work, they include delivery, ongoing client support, contractual rights and accounting obligations. Security logs and backup copies may have separate retention cycles managed by the relevant providers.

When information is no longer needed for those purposes, it should be deleted or anonymised. You can ask about the records held for your particular enquiry or request deletion; some records may still need to be kept for a legal obligation or legitimate claim.

07Website & playback

Motion preference. The website stores your chosen pause/resume setting in your browser’s local storage under molten-motion-paused. It is a preference, not a visitor identifier. It remains until you change the setting or clear the site’s browser data. Clearing it resets the preference. Your device’s reduced-motion setting is also respected.

Google Fonts and video thumbnails. The website requests its typefaces from Google Fonts and some film thumbnails from YouTube. Those requests can occur before you play a video and send technical request information, including your IP address and browser information, to the relevant service.

YouTube playback. An embedded video player is loaded when you choose a film, using YouTube’s privacy-enhanced embed domain. Playing a film connects your browser to YouTube/Google, which may process device and playback information and use cookies or similar storage under its own policies. Privacy-enhanced mode does not mean anonymous or zero-data playback. You can avoid loading the embedded player by not selecting a film. Read Google’s privacy policy.

Analytics and other services. The website’s own page code does not include analytics or advertising trackers. This does not rule out routine hosting/security logs or processing by the external services described above. Forms and external links have their own service-specific privacy information. Changes to optional tracking or embedded services require this notice and the relevant controls to be reviewed.

08Your rights

Depending on the circumstances and the lawful basis, you can ask for a copy of your personal information, correction of inaccurate details, deletion, restriction of use, or a portable copy of information you have supplied. These rights are not absolute; we will explain any applicable limits.

Your right to object

You can object to use based on legitimate interests by telling us about your particular circumstances. You can object to direct marketing at any time. Email info@moltenmedia.uk to raise an objection.

Where consent is the basis, you can withdraw it at any time. To exercise a right, contact Lizzy and Duncan using the email below. We may need enough information to confirm your identity and find the relevant record. We will respond within the applicable legal time limit and explain any permitted extension.

09Questions & complaints

Contact info@moltenmedia.uk, addressed to Lizzy and Duncan, with a privacy question, rights request or complaint. Please explain the concern and include enough information to identify the enquiry involved. You do not need to use legal terminology.

We will acknowledge a data-protection complaint within 30 days, investigate it and keep you informed, providing a response without unnecessary delay. A rights request has its own legal response deadline.

You also have the right to complain to the UK Information Commissioner’s Office. Visit the ICO’s complaints page or telephone 0303 123 1113. The ICO provides information about raising concerns with an organisation and escalating unresolved issues.

This notice may be updated when the website or enquiry process changes. The date at the top shows the latest revision.
